Purpose. This procedure describes how inbound freight is received, checked, recorded and put away at the Dandenong South distribution centre.

1.Before the vehicle arrives

The receiving team leader will check the inbound schedule in the consignment board at the start of shift and allocate a dock door to each expected delivery. Any delivery not on the schedule must be confirmed with customer service before it is unloaded.

2.Unloading

The driver must remain in the driver safety zone while the vehicle is unloaded. Forklift operators will unload pallets in the order shown on the consignment note, placing them in the receiving lane for the dock door. Damaged, leaning or wet pallets must be set aside in the quarantine bay and photographed before the driver leaves.

3.Checking the delivery

The receiving officer must count cartons and pallets against the consignment note and the customer purchase order, check product codes and batch numbers, and check the temperature of chilled product with the probe thermometer. Discrepancies must be recorded on the consignment note before it is signed and entered in the stock register as a receival exception.

  • Count pallets and cartons
  • Match product codes and batch numbers
  • Check use-by dates for food and pharmaceutical stock
  • Record chilled product temperature
  • Note damage or shortages on the consignment note

4.Recording the receival

The receiving officer will create the receival record in the stock register with the customer, product, quantity, batch, dock door and any exceptions, then print put-away labels. Receivals must be recorded within one hour of unloading so that customer service can see stock on hand.

5.Put-away

Forklift operators will scan the put-away label and place the pallet in the bay directed by the stock register, respecting the weight limit for each racking level and the segregation rules for dangerous goods and food. The operator must confirm the bay in the register before moving to the next pallet.

6.Exceptions

Shortages, damage and mismatched product must be reported to the team leader and to customer service on the same shift. Customer service will contact the customer and the consignor. Quarantined stock must not be put away or picked until the exception is closed in the stock register.
