Purpose. Supervisors use this template to plan and record a toolbox talk so that the topic, the discussion and the attendance are captured for the training matrix.

1.Purpose of toolbox talks

Toolbox talks are short, focused safety conversations held at the start of a shift. They are used to share lessons from incidents, introduce a changed procedure, remind teams about seasonal hazards such as heat, and give workers a chance to raise concerns.

2.Preparing the talk

Choose one topic and keep the talk to fifteen minutes. Read the related procedure before the talk and bring the equipment or document you are talking about. Prepare two or three questions to ask the team.

3.Running the talk

State the topic and why it matters now. Walk through the key points, ask the team what they see on the floor, and agree on what will change. Record every question or concern raised, and who will follow it up.

4.Recording attendance

Every attendee must print and sign their name. The completed record is scanned and attached to the training matrix within two business days.

5.Follow-up

Actions agreed at the talk must be entered in the incident register as hazard actions or raised with the department manager. Report back to the team on progress at the next talk.
